Overview

FreshLinen, an assumed business name of Fresh Linen Digital LLC (“FreshLinen,” “we,” “us”), operates a digital welcome book service for short-term rentals. This policy explains what we collect, how we use it, and the choices you have. It covers Hosts, who subscribe and build guidebooks, Guests, who view them, and visitors who use the free tools on our website without an account.

The short version: we collect what we need to run the service and nothing more. We do not sell personal information, we do not show ads, and we do not use advertising or analytics trackers.

Information we collect from Hosts

  • Account information: your email address and a password. Passwords are handled by Google’s Firebase Authentication; we never see or store them in readable form.
  • Guidebook content: the property details, instructions, images, and recommendations you publish. Guidebooks are accessible to anyone with the link, so do not put information in them you would not hand to a guest.
  • Billing information: payments are processed by Stripe. We store your Stripe customer reference and subscription status. Your card number never touches our servers. Stripe’s handling of your data is described in Stripe’s own privacy policy.

Information we collect from Guests

  • No account is required to view a guidebook, and simply viewing one collects no name or email.
  • Search queries: when you search inside a guidebook, the text of your search is recorded and shared with that guidebook’s Host, so they can see what information their guests were looking for. Searches are stored with the guidebook, not with your identity, and we do not attempt to link them to you.
  • Notes to your Host: if you use the form to let your Host know about a small issue at the property, we collect the message you write and, if you choose to provide it, your name. Notes are stored with the guidebook and shared with that Host so they can fix the issue; they are not used for anything else.
  • Server logs: like nearly every web service, our infrastructure providers record basic technical logs (such as IP address and browser type) for security and reliability.

Information we collect from our free tools

Some tools on our site are free and need no account, such as the wifi QR code generator. That tool runs entirely in your browser: the QR code is created on your own device, and the wifi password you type is never sent to FreshLinen and is never stored by us. The tool sets no cookies and saves nothing on your device.

We do keep a record each time the tool is used. That record contains:

  • The network name you entered, the security type you chose, and whether you marked the network as hidden.
  • A fingerprint of the password that cannot be reversed: how many characters it had, which kinds of characters it contained, such as letters, digits, or symbols, and whether it looked unusual for a wifi password, for example because it contained a web address or control characters. We do not keep the password itself or any part of it, and we do not keep anything that would let us work it out.
  • Which step you took, meaning whether you made a code, downloaded one, or followed the link to sign up, and the date and time.
  • A hashed form of your IP address, rather than the address itself, so we can limit how heavily the tool is used from one place.

We keep these records to watch for misuse of a tool that is free and open to the public. They are held in our own database, not with an advertising or analytics company, they are visible only to FreshLinen, and we keep them indefinitely. As with the rest of the site, our infrastructure providers also record the usual technical server logs described above.

Cookies and on-device storage

  • Hosts: one strictly necessary session cookie keeps you signed in to your dashboard for up to 14 days. It is not used for tracking.
  • Guests: browsing a guidebook sets no tracking cookies.
  • Offline copies: to make arrival information available without cell service, your browser may save guidebook pages on your device. That copy stays on your device and can be removed by clearing your browser’s site data.

How we use information

  • To provide, secure, and maintain the service.
  • To process subscription payments through Stripe.
  • To show Hosts what their guests searched for, so guidebooks can be improved.
  • To respond to support requests.
  • To comply with legal obligations.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Who we share information with

We share information only with the service providers that run the platform, and only as needed to operate it:

  • Google (Firebase and Google Cloud): application hosting, database, and authentication.
  • Stripe: payment processing and subscription management.

We may also disclose information if required by law, or as part of a merger, acquisition, or sale of assets, in which case this policy continues to apply to the transferred information.

Data retention and deletion

  • Host account and guidebook data is kept while your account is active. If you cancel, your guidebooks stay available until the end of your paid period.
  • Guest search logs are kept so Hosts can review them, and may be deleted by us over time.
  • Records from our free tools, described above, are kept indefinitely.
  • To delete your account and its data, email [email protected] and we will complete the deletion within 30 days, except for records we are legally required to keep, such as billing records.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information. We honor these requests regardless of where you live: email [email protected] and we will respond within 30 days. We will never treat you differently for exercising a privacy right.

Security

Data is encrypted in transit, access to production systems is restricted, and payment credentials are handled entirely by Stripe. No online service can promise perfect security, but we keep the amount of personal information we hold deliberately small.

Children

FreshLinen is not directed to children under 13, and we do not knowingly collect personal information from them. Host accounts require you to be at least 18.

Changes to this policy

If we make material changes to this policy, we will notify Hosts by email or through the dashboard, and update the date at the top of this page.
